Vacations by Linda LLC, doing business as Destinations by Linda 161 Center Grove Road, Suite 240 Randolph, New Jersey 07869 hola@destinationsbylinda.com This Cancellation Policy outlines the fees, timelines, and procedures that apply when you cancel or modify a travel booking made through Destinations by Linda ("DBL"). By booking travel with DBL, you agree to the terms of this policy. 💡 The short version: Every cancellation has two parts — DBL's administrative fee ($50) and your Supplier's penalty. Supplier penalties vary by how far out you cancel and which Supplier you booked. Travel insurance can protect you from both.
1. DBL Administrative Cancellation Fee
For any cancellation or modification to a confirmed booking, DBL charges a $50.00 non-refundable administrative fee per booking. This fee: Applies to all cancellations and booking modifications, regardless of reason Is charged in addition to — and separate from — any penalties assessed by your Supplier (hotel, resort, cruise line, etc.) Is due at the time the cancellation or modification is processed Is non-refundable even in the event of Force Majeure, illness, or circumstances beyond your control May be recoverable through travel insurance. Certain Trip Cancellation and Cancel for Any Reason (CFAR) policies cover advisor fees. Review your policy or contact your insurer to confirm.
2. Supplier Cancellation Penalties
In addition to DBL's administrative fee, your Supplier will assess their own cancellation penalties based on when you cancel relative to your departure date. These penalties vary by Supplier and are outlined at the time of booking.

Disney Cruise Line and premium cruise lines may have different schedules. Your booking confirmation governs.
Group Bookings
Group bookings are subject to the Group Contract terms agreed upon at the time of booking. Individual cancellations within a group may trigger single supplement charges and affect group pricing for remaining travelers. See Section 4 below and the Group Travel terms in DBL's Terms & Conditions.
Airfare
Airfare booked through DBL is subject to the airline's own fare rules. Many promotional or basic economy fares are 100% non-refundable from the moment of booking. DBL recommends purchasing refundable airfare or travel insurance with cancel-for-any-reason coverage if schedule flexibility is important to you. DBL is not responsible for airline cancellation penalties on airfare booked independently.
3. Planning and Service Fees
Planning fees and service fees paid to DBL are non-refundable once work has commenced, regardless of whether a booking is completed or subsequently cancelled. This includes situations where: A booking is researched and proposed but not confirmed A booking is confirmed but later cancelled by the client A booking is cancelled due to Force Majeure or events outside anyone's control As noted in Section 1, some planning fees may be recoverable through travel insurance.
4. Group Travel Cancellations
Group travel cancellations involve additional considerations: Individual Cancellation Within a Group If one traveler cancels from a group booking: DBL's $50 administrative fee applies to that individual's booking The Supplier's individual cancellation penalty applies to that traveler If the cancellation drops the group below the Supplier's minimum traveler threshold, the group rate may no longer apply and remaining travelers may owe the difference in individual pricing The cancelling traveler is responsible for any single supplement owed by their former roommate Full Group Cancellation If the entire group cancels: DBL's $50 administrative fee applies per individual booking in the group Each traveler is subject to the Supplier's cancellation penalty schedule Group contract terms agreed at the time of booking govern any group-specific deposits or penalty structures No Refund for No-Shows Travelers who do not show up for departure without prior written cancellation to DBL are subject to 100% cancellation penalties and are not entitled to any refund.
5. How to Submit a Cancellation Request
All cancellation requests must be submitted in writing to: 📧 hola@destinationsbylinda.com Subject line: CANCELLATION REQUEST — [Your Name] — [Trip Destination & Date] Your written request must include: Your full name The names of all travelers being cancelled Your booking confirmation number (if available) Your travel dates and destination The reason for cancellation (for travel insurance documentation purposes) Important: Verbal cancellation requests — including by phone, text message, or social media — are not accepted and will not be processed. The date DBL receives your written email request is the official cancellation date used to determine applicable penalties.
6. Refund Processing
Once a cancellation is submitted and confirmed: DBL will contact your Supplier on your behalf to process the cancellation Supplier refunds (if any) are issued per the Supplier's own timeline — typically 4–12 weeks depending on the Supplier Refunds are returned to the original payment method used for the booking DBL has no control over Supplier refund timelines and is not responsible for delays in Supplier refund processing DBL's $50 administrative fee is charged at the time of cancellation and is not included in any Supplier refund
7. Modifications and Changes
Requests to change travel dates, destinations, room categories, or other booking details are treated as a modification and are subject to: DBL's $50 administrative fee The Supplier's change fee (if applicable) Any increase in pricing based on current availability at the time of the change DBL cannot guarantee that changes can be accommodated. Some bookings — particularly promotional rates and non-refundable fares — cannot be modified once confirmed. All modification requests must be submitted in writing to hola@destinationsbylinda.com.
8. Force Majeure and Extraordinary Circumstances
In the event of Force Majeure — including but not limited to natural disasters, pandemics, government travel bans, airline shutdowns, or other events beyond anyone's control: DBL's $50 administrative fee still applies, as it compensates DBL for work already performed Supplier refund or credit decisions are entirely at the Supplier's discretion per their Force Majeure policies DBL will advocate on your behalf with Suppliers to obtain the best possible outcome (refund, future travel credit, or rebooking) DBL cannot guarantee any particular outcome from Supplier Force Majeure decisions This is precisely why travel insurance — especially Cancel for Any Reason (CFAR) coverage — is strongly recommended on every booking.
9. Travel Insurance — Strongly Recommended
DBL strongly recommends purchasing comprehensive travel insurance on every booking, including: Trip Cancellation — reimburses prepaid, non-refundable costs if you cancel for a covered reason Cancel for Any Reason (CFAR) — reimburses a percentage of your trip cost regardless of the reason for cancellation (typically purchased within 10–21 days of your initial deposit) Trip Interruption — covers costs if you must cut your trip short Travel Delay — covers additional expenses due to covered delays Medical Emergency & Evacuation — covers emergency medical care and evacuation abroad Without travel insurance, you may forfeit all funds paid if you need to cancel or interrupt your trip. DBL is not a licensed insurance broker and cannot advise on specific policy terms. It is your responsibility to review your policy and ensure it meets your needs. If you decline travel insurance, DBL may require you to sign a Travel Insurance Waiver acknowledging that you understand the financial risks of traveling uninsured.
